Buying
How much does Easy Books cost?
+
–
$59.50 a month, billed quarterly at $178.50. That covers up to ten computers and unlimited users, with everything included. There's no setup fee.
Is the price going to go up?
+
–
No. There's no introductory rate, and the price doesn't rise after the first year.
Is there a guarantee?
+
–
Yes. Every subscription has a 90-day money-back guarantee — in effect, your first quarter is fully refundable.
Do I pay per user?
+
–
No. One price per business, up to ten computers at one location.
Can I try it first?
+
–
Request the User Manual and the Task Map. They show exactly what the software does and how. Then use the 90 days.
Computers and setup
Does it run on a Mac?
+
–
No. Easy Books is Windows software, for Windows 10 or 11.
Do I need a server?
+
–
No. One ordinary Windows PC acts as the server, and it can still be used as a workstation. A solid-state drive is recommended.
Do I need an IT person to set it up?
+
–
Usually not. The manual walks through the network setup click by click, and support is available if you'd like help.
Is it in the cloud?
+
–
No, deliberately. Your data stays on your own computers, behind your own firewall.
What happens if the internet goes down?
+
–
Nothing. Easy Books doesn't need the internet to run. You keep invoicing, receiving and writing checks.
Can I use it from home?
+
–
Easy Books runs on your office network, not over the internet. But a remote-access service such as Splashtop lets you sit at home and work on your office computer as if you were there, and it works very well with Easy Books. If you need staff in several locations all working on the same books at once, Easy Books isn't the right fit.
Running your business
Does Easy Books do payroll?
+
–
It posts payroll — correctly, to the period the work was done — and it has a built-in time clock. Calculating withholding and filing payroll taxes is done by a payroll service such as Paychex or ADP, and Easy Books posts what they send you.
How many employees can use the time clock?
+
–
Up to sixteen hourly employees. There's no limit on salaried employees.
Can I email invoices and statements?
+
–
Yes, with one button, provided you have an email account with SMTP.
Does it handle more than one currency?
+
–
No. Easy Books is for businesses that trade in US dollars.
How many bank accounts does it support?
+
–
One checking account and one savings or money-market account, at present.
Does it suit a service business?
+
–
Not really. It's built for businesses that buy products, hold them and sell them. If you mainly bill for time, you'd be better served elsewhere.
Switching and leaving
Can I bring my data from QuickBooks?
+
–
Yes — customers, vendors, items and opening balances, through the Setup Wizard. See our guide to moving from QuickBooks.
How long does switching take?
+
–
Typically three to ten hours, depending on the size of your lists.
What happens if I cancel?
+
–
Your data stays on your computers. Easy Books keeps running and you can keep posting; only posting to the general ledger pauses. If you start again, everything you posted in between is back-posted, so nothing is lost.
